Event Submission Guidelines

The primary function of the calendar of events is to inform potential visitors of

the exciting things there are to do in Proctor! The calendar features visitor-facing events and is intended to assist in growing the tourism and hospitality industry, helping visitors plan trips to our region and increasing the economic impact from those trips. We want it to present the positive profile and image of Proctor and the region and showcase the great entertainment, festivals, and events.

 Eligible Events

Events must be open to the public (free or ticketed) and provide visitors with the opportunity to experience hospitality heritage, culture, cuisine, sports, concerts, theater, museum/art exhibitions, seasonal happenings, and festivals taking place in Proctor. Exceptions may be made for events taking place near Proctor.

The following special events may be considered if enough additional activities/elements are included: Retail events/open houses (may include entertainment, music, tastings, guest appearances, signings and/or demos), Special dining events (wine or chef's dinners, holiday meals with entertainment), One or consecutive two-day classes or tours, Special community-wide sales events or multi-vendor markets, Admission that is waived for an activity or attraction that occurs for 1-4 days.

Non-Eligible Events

  • Fundraising and donation appeals

  • Political events and rallies

  • Networking or business training events such as chamber meetings, award banquets, and socials

  • Job fairs

  • Public hearings

  • Religious services

  • Retail store discounts, special offers, or restaurant happy hours

  • Summer camps or long-term classes

 

Event Submission Guidelines

Before submitting your event, please verify that it is not already listed on the calendar

  • Descriptions should be in sentence form (do not use all-caps). Please double-check your content for accuracy before submitting.

  • Do not include the use of emojis in the description

  • Please include an image – events without images will not be approved. In submitting photography, you are allowing Visit Proctor the rights to use the photography for the purposes of promoting Proctor as a visitor and convention destination in promotional or marketing efforts.

  • Events should be submitted at least two weeks in advance of the event occurrence to ensure adequate notice to the public

  • Visit Proctor reserves the right to edit descriptions and is not responsible for errors submitted via the form

  • Event dates, times, and location should be final, but if things were to change, we can make updates if needed

Submission of an event does not guarantee that it will be included in our calendar. Visit Proctor retains the right to publish events at our discretion. Questions may be directed to cityhall@proctormn.gov
